1. Acceptance of These Terms
These Terms and Conditions govern your access to and use of the BookedYou website, applications, services, and related features, including AI Bookie, event management, calendars, schedules, appointment scheduling, bookings, communications, file storage, BookedQuest, analytics, and business subaccounts.
By creating an account, purchasing a service, or using BookedYou, you agree to these Terms and our Privacy Policy. If you do not agree, you must not use the services.
If you use BookedYou on behalf of a business, organization, or other entity, you represent that you are authorized to accept these Terms on its behalf.

Features may vary by account type, plan, location, technical availability, or applicable restrictions. We may introduce, change, suspend, or discontinue features in accordance with applicable law and these Terms.
3. Eligibility and Account Information
You must provide accurate information when creating and maintaining your account. Where required for account integrity, payment processing, or legal compliance, we may request additional information or verification.
You are responsible for maintaining the confidentiality of your login credentials and for activities conducted through your account, subject to applicable law.
You must notify us promptly if you suspect unauthorized access or activity. We may suspend or restrict accounts where reasonably necessary to protect users, investigate suspected fraud, enforce these Terms, or comply with legal obligations.
You must not impersonate another person, create deceptive accounts, misrepresent your authority, or use BookedYou to facilitate fraud.
4. Acceptable Use and Community Standards
You agree not to use BookedYou to:
- Harass, threaten, bully, stalk, intimidate, or discriminate against others.
- Publish unlawful threats, non-consensual intimate imagery, child sexual abuse material, or other prohibited content.
- Promote illegal activity, exploitation, violence, or services prohibited by applicable law.
- Commit fraud, distribute malware, attempt unauthorized access, or interfere with the security or operation of the service.
- Circumvent account permissions, payment controls, storage restrictions, or technical safeguards.
- Upload or distribute content that infringes another person’s intellectual property, privacy, or other legal rights.
- Send spam, deceptive invitations, or unauthorized bulk communications.
- Use another user’s files, personal information, bookings, or account without permission.
- Manipulate feedback, ratings, attendance information, or analytics dishonestly.
We may investigate reported violations and take proportionate action, including removing content, limiting functionality, suspending accounts, or terminating access. Where appropriate or legally required, we may refer suspected illegal activity to the relevant authorities.
Users may report concerns through the reporting tools available in the service or by contacting us. Reports must be made honestly and in good faith. Knowingly false or abusive reports may also violate these Terms.
5. User Content, Photos, and Files
You retain ownership of photos, documents, messages, event descriptions, and other content you create or upload, subject to the rights of any other person who owns or controls that content.
By submitting content to BookedYou, you grant us a limited, non-exclusive licence to host, store, reproduce, process, transmit, display, and otherwise use that content only as reasonably necessary to provide, secure, maintain, and improve the services, carry out your instructions, and meet legal obligations.
This licence does not transfer ownership of your content to BookedYou. We will not use private user content for unrelated public promotional purposes without an appropriate legal basis or permission.
You are responsible for ensuring that you have the rights and permissions necessary to upload, share, or distribute content. You must respect the privacy and consent of people appearing in photographs, videos, messages, or event materials.
Content may be visible to invited guests, collaborators, business administrators, or the public depending on your settings and the permissions you grant. You should check the audience and privacy settings before publishing or sharing content.
We may remove content that violates these Terms or applicable law. We may preserve or disclose information where reasonably necessary to investigate abuse, protect users, enforce our rights, or comply with legal requirements.
6. AI Bookie, Artificial Intelligence, and Third-Party AI Services
AI Bookie is an artificial intelligence assistant that may use third-party AI services, including Google’s Gemini models, to interpret instructions and help users perform supported actions within BookedYou.
6.1 AI limitations
AI Bookie may misunderstand instructions, produce inaccurate or incomplete information, omit important details, or fail to perform an intended action. AI-generated content should be reviewed before it is relied upon, published, or sent to others.
AI Bookie is not a substitute for professional legal, financial, medical, safety, or other specialized advice.
6.2 Authorized actions
Depending on the available features, permissions, and settings, AI Bookie may help create or update events, organize bookings, compare schedules, prepare messages, use uploaded files, search information, and perform other supported tasks.
You remain responsible for reviewing the details and consequences of actions performed through your account. BookedYou may require confirmation before sensitive actions, such as sending bulk messages, removing guests, cancelling bookings, or performing transactions.
AI Bookie can only perform actions supported by the service and permitted by your account permissions. We do not guarantee that every requested action will be available or completed successfully.
6.3 AI processing and privacy
To process your requests, relevant instructions and content may be transmitted to third-party AI providers and other service providers acting on our behalf. This may include text, selected files, event information, or other information necessary to complete your request.
Such processing is subject to our Privacy Policy and applicable provider terms. Do not submit passwords, payment credentials, or sensitive information unless the relevant feature specifically requires it and provides an appropriate secure method.
6.4 AI availability and changes
AI features depend on third-party services, technical infrastructure, and usage limits. We do not guarantee uninterrupted availability, identical results, or continued access to any particular AI model.
We may change AI providers, models, or implementation details where reasonably necessary, subject to applicable law and our privacy commitments.
7. AI Bookie Tokens and Usage Charges
Certain AI Bookie tasks may consume tokens or usage credits. The applicable token cost may differ according to the task, complexity, model, or resources required.
Before a chargeable task is performed, we aim to disclose the applicable token cost through the interface. Your account may receive a monthly token allowance under its plan, and you may be able to purchase additional tokens separately.
- Monthly included tokens are governed by the plan displayed at the time of purchase.
- Purchased token packs are subject to the quantity, price, expiry terms, and other conditions disclosed at checkout.
- Token balances, consumption, and available allowances may be displayed in your account.
- Routine navigation or other designated non-chargeable actions may use no tokens.
- A failed task that does not deliver the requested result should be handled under the applicable failure and credit-adjustment rules disclosed in the service.
- We will not intentionally charge tokens merely to punish a user for language or behaviour.
- Tokens are usage credits, not cash, deposits, or ownership interests. They cannot be exchanged for cash except where required by law or expressly stated in the applicable offer.
Unless disclosed otherwise before purchase, tokens are non-transferable between unrelated accounts and cannot be sold or redeemed by users.
We may impose reasonable limits to prevent abuse, protect system stability, or comply with third-party provider limits. We will not materially change the paid-token terms retroactively in a way that removes rights already purchased, except where legally permitted and appropriately disclosed.
8. Plans, Subscriptions, and Storage Allowances
BookedYou may offer free and paid plans for individual and business accounts. Each plan may include specific storage allowances, monthly AI token allowances, and other features.
The plan name, price, billing period, renewal conditions, included storage, and included tokens shown during checkout form part of your purchase agreement.
Unless otherwise disclosed, subscriptions are billed in advance for the selected billing period. Where automatic renewal applies, the renewal terms and price will be disclosed before purchase. You may cancel future renewals through the available account controls or by contacting us.
Cancelling a subscription generally prevents future renewals; it does not automatically entitle you to a refund for the current billing period, except where required by law or stated in the applicable offer.
If a paid plan expires, is cancelled, or is downgraded, your account may return to the storage and token allowances of the applicable remaining plan. You are responsible for reviewing and managing your stored content before a plan change causes your account to exceed its allowance.
9. Storage, Storage Upgrades, and Usage Limits
BookedYou may provide storage for eligible photos, files, attachments, messages, booking information, and other supported content.
9.1 Storage allowances
Your available storage depends on your plan and any purchased storage upgrades. Storage allowances apply to the account or allocation specified at checkout. Business accounts may have shared or allocated storage across subaccounts as described in the relevant plan.
Storage calculations may include file sizes, images, attachments, and other data specified in the service. We may display estimated usage and category breakdowns to help you manage your storage.
9.2 Additional storage
Users may purchase eligible storage upgrades at the prices and for the billing periods displayed at checkout. The additional allowance becomes available after successful payment and activation.
If a subscription-based storage upgrade expires or is cancelled, your storage allowance may decrease. If your stored content exceeds the remaining allowance, we may restrict new uploads or other storage-dependent functions until you free space or purchase additional storage.
9.3 Storage limits and deletion queues
BookedYou may identify eligible older content for deletion or removal when a storage limit, retention rule, or other disclosed storage policy applies. Where applicable, we will provide notice and information about the affected content and available options before deletion.
Content identified for deletion may remain accessible during a stated grace period, where offered. Users are responsible for reviewing notices and protecting important information before a deletion deadline.
We do not guarantee that content exceeding an allowance will remain indefinitely available. We may remove content in accordance with the disclosed retention policy, these Terms, and applicable law.
9.4 Storage reliability
We take reasonable measures to protect stored information, but no online storage service can guarantee uninterrupted availability or eliminate every risk of loss. Unless a feature expressly provides otherwise, you should maintain independent copies of important files.
10. Protected Events and Booking Protection
BookedYou may offer an optional paid feature called Booking Protection for eligible bookings or associated content.
The price, protection period, eligible information, exclusions, and renewal or expiry terms will be disclosed before purchase. Where the feature is sold on an annual basis, the protection applies only for the stated period unless renewed as disclosed.
Booking Protection may preserve eligible booking-related photos, files, messages, or other information against certain ordinary deletion or storage-management processes. The exact items protected will be identified in the product description.
Booking Protection is not a guarantee against every form of data loss, corruption, unauthorized access, account closure, legal removal, or service interruption. It does not override privacy rights, legal obligations, or valid requests for removal where the law requires action.
Protected content may become unavailable if protection expires, a payment fails, the account is closed, or another stated condition applies. We will disclose any relevant expiry and renewal conditions before purchase.
11. Business Accounts and Subaccounts
BookedYou offers business accounts for organizations that need to manage teams, communities, events, bookings, and related activities.
Regular individual accounts do not include formal business subaccounts unless BookedYou expressly introduces such a feature.
11.1 Purchasing subaccounts
Business account holders may purchase a specified number of subaccounts through the plans offered at checkout. Prices, billing periods, storage allocations, monthly token allowances, and included features will be disclosed before payment.
A purchased subaccount entitlement represents the right to create up to the number of subaccounts included in the plan. Payment does not necessarily mean that every available subaccount has already been created.
After successful payment, the business account may display the number of subaccounts purchased, created, and remaining to create.
11.2 Storage and AI tokens for subaccounts
Each subaccount receives the storage allowance and monthly AI token allowance stated in the purchased plan. These allowances may be allocated separately or administered through shared business controls as described in the product interface.
Unused monthly included tokens may expire or reset according to the plan terms. Additional purchased tokens are governed by the separate token-purchase terms.
11.3 Administration and responsibility
The business account holder is responsible for assigning access, managing authorized users, maintaining accurate account information, and ensuring that subaccounts are used lawfully.
Business administrators may have access to account management, billing, usage, or other information necessary to administer the business plan. Access to private messages or content is governed by the permissions and disclosures provided within the service.
Business account holders must ensure that users are informed of relevant organizational policies and that personal information is handled appropriately.
11.4 Cancellation, downgrade, and release
If a business plan expires, is cancelled, or is downgraded, the ability to create or maintain subaccounts may change. We will disclose the applicable consequences and any required actions.
Where BookedYou permits a subaccount to be released from a business account, its future billing, storage, token allowances, data access, and account ownership will be handled according to the release flow and terms disclosed at that time. A released subaccount may need its own plan to retain paid features or additional storage.
12. Events, BookedQuest, and User-Generated Activities
BookedYou may allow users to create, advertise, discover, and participate in events through BookedQuest and other event features.
Unless BookedYou expressly identifies itself as the event organizer, seller, or service provider, the event creator or organizer is responsible for the event, including its description, safety, venue, timing, accessibility, permissions, cancellations, and fulfilment of promises made to attendees.
BookedYou does not independently endorse or guarantee every event listed on the platform. Users should assess event details and contact the organizer with questions before participating.
Event creators must not publish misleading, unlawful, discriminatory, or unsafe event listings. We may remove listings or restrict accounts when necessary to enforce these Terms or comply with applicable law.
Nothing in this section excludes liability that cannot legally be excluded.
13. Schedules and Appointment Scheduling
BookedYou may provide regular schedules and appointment scheduling features.
Regular schedules may allow users or organizations to publish available booking opportunities, time slots, classes, shifts, activities, or other resources for others to reserve.
Appointment scheduling may allow an organizer or service provider to publish availability so that visitors can select and request or confirm appointments through a public booking page, short link, or QR code.
Depending on the available functionality, appointment scheduling may include:
- Appointment durations and availability windows.
- One-on-one appointments or group appointment capacity.
- Staff or team availability.
- Booking forms and information requests.
- Physical locations, telephone appointments, or online meeting details.
- Confirmation, cancellation, and rescheduling rules.
- Appointment reminders and notifications.
- Calendar integrations and conflict checks.
The organizer or service provider is responsible for ensuring that appointment descriptions, availability, locations, services, and prices are accurate.
A displayed time slot is not necessarily a confirmed appointment until the booking process has been completed and the confirmation status has been communicated.
Users are responsible for reviewing appointment details before confirming a booking. BookedYou does not guarantee that every appointment organizer will provide the service as described.
Calendar synchronization and external availability checks may be subject to technical limitations, authorization permissions, delays, or incomplete information. Users should not assume that every external calendar conflict will be detected in real time.
Unless BookedYou expressly identifies itself as the service provider, BookedYou is a platform facilitating the booking interaction and is not responsible for the underlying appointment service.
14. Bookings, Tickets, Fees, and Refunds
BookedYou may facilitate free or paid bookings for events, schedules, classes, services, appointments, or other activities.
The booking details, price, fees, cancellation rules, and applicable refund conditions will be shown before a user confirms a booking or payment.
14.1 Platform fees
BookedYou may charge a fee for eligible paid bookings or tickets. The fee amount, who pays it, and whether any portion is refundable will be disclosed before the transaction is completed.
Platform fees are not automatically refundable simply because an attendee changes their mind or an organizer’s event changes. However, this policy does not remove refund rights required by law or any refund obligation arising from the applicable transaction terms.
14.2 Organizer responsibility
Unless expressly stated otherwise, the event or service organizer is responsible for providing the event or service and deciding organizer-funded refunds in accordance with the terms presented to the customer and applicable law.
BookedYou may assist with payment administration or provide a mechanism to request a refund, but it does not guarantee that an organizer will approve a request.
14.3 Payment processing
Paid transactions may be processed by Stripe or another payment provider identified at checkout. Payment processing is subject to the provider’s terms and policies.
Users or businesses that wish to receive payments may be required to create, verify, and maintain a payment-provider account. Acceptance of payments may depend on the provider’s approval and eligibility requirements.
15. Calendar Integrations and External Services
BookedYou may offer integrations with third-party services, including Google Calendar and Apple calendar services, where available.
Use of an integration may require authorization and is subject to the applicable third-party terms, privacy policies, and technical limitations. You are responsible for reviewing the permissions requested during connection.
BookedYou is not responsible for outages, changes, data limitations, or policies imposed by external providers, except to the extent liability cannot legally be excluded.
You may need to reconnect an integration if authorization expires or is revoked. Synchronization may not always be instantaneous, and conflicting changes may require user review.
16. Messaging, Notifications, and Guest Permissions
BookedYou may provide direct messages, event comments, broadcasts, invitations, group communications, email notifications, reminders, and other communication tools.
You are responsible for ensuring that messages and invitations are appropriate, lawful, and sent to people you are authorized to contact.
Features that allow guests to invite additional guests or collaborators may be controlled by the event creator or administrator. You must respect the permissions and limits established for each event or account.
Delivery of messages and notifications may be affected by email providers, device settings, connectivity, spam filters, or other circumstances outside our control. We do not guarantee that every message will be delivered, read, or acted upon.
Users should not rely exclusively on BookedYou notifications for emergencies or time-critical safety information.
17. Analytics, Happiness Mood, and Work-Life-Fun Balance
BookedYou may provide analytics, scores, indicators, summaries, visualizations, and insights, including Happiness Mood, Community Happiness, Work-Life-Fun Balance, Booking Type Breakdown, activity summaries, and other account or community insights.
These features are intended to help users explore activity patterns, participation, feedback, and engagement within BookedYou.
17.1 Informational, reflective, and entertainment purposes
All analytics and insight features are provided for general informational, organizational, reflective, engagement, and entertainment purposes only.
They are not designed or intended to provide medical, psychological, psychiatric, therapeutic, financial, employment, educational, insurance, or other professional assessments or advice.
In particular:
- Happiness Mood: Ratings submitted through the five mood faces reflect subjective feedback voluntarily provided by users. They do not establish or measure a person’s mental health, emotional condition, or overall well-being.
- Community Happiness: Community or business happiness summaries reflect the feedback received from participating users. They may not represent the views or experiences of every guest, member, or participant.
- Work-Life-Fun Balance: This indicator is generated using activity and booking categories recorded on BookedYou, such as Business, Social, Special, Personal, and BookedQuest. It is not a scientific measurement of a person’s lifestyle, health, work-life balance, or personal circumstances.
- Booking Type Breakdown: This feature summarizes the distribution of recorded booking or activity categories. It does not necessarily represent every activity in a user’s life.
- Other analytics: Charts, scores, trends, comparisons, suggestions, and summaries are general platform insights and should not be treated as definitive conclusions.
17.2 No medical or psychological assessment
BookedYou does not diagnose, treat, prevent, or assess mental health conditions through its happiness, mood, or balance features.
No score, face, colour, rating, message, indicator, chart, or automated insight should be interpreted as a diagnosis or professional opinion about a person’s mental or emotional state.
A low happiness rating does not establish that a person is depressed, mentally unwell, dissatisfied with their life, or experiencing a medical condition. A high rating does not establish that a person is healthy or free from difficulties.
Users who require medical, psychological, or other professional assessment should consult a qualified professional.
17.3 Accuracy and limitations
Analytics may be based on user-submitted feedback, recorded bookings, event participation, activity categories, account information, or other information available through BookedYou.
Results may be incomplete, approximate, delayed, or affected by missing, incorrect, subjective, or limited data. Averages and summaries may change as additional information is submitted or recorded.
BookedYou does not guarantee the accuracy, completeness, reliability, or suitability of any analytics, score, trend, indicator, or recommendation for a particular purpose.
17.4 Business and organizational use
Business and organizational accounts may use aggregate happiness feedback and other analytics to better understand participant experiences and identify opportunities to improve events, services, and community engagement.
These summaries should not automatically be interpreted as representing every participant’s opinion.
Business administrators are responsible for using feedback and analytics fairly, lawfully, and respectfully. They must not treat a person’s rating as a diagnosis, a definitive judgment of their character, or proof of their mental or emotional condition.
Access to individual feedback or identifiable responses depends on the relevant feature, account permissions, settings, and disclosures made when the feedback is collected.
17.5 User responsibility and decisions
Users remain responsible for their own interpretations and decisions based on analytics and insights.
Analytics must not be used as the sole basis for medical, psychological, employment, educational, insurance, or other high-impact decisions about an individual.
To the maximum extent permitted by applicable law, Booked You Inc. disclaims responsibility for decisions made solely in reliance on analytics, scores, indicators, or insights, subject always to rights and protections that cannot legally be excluded or limited.
18. Account Suspension, Closure, and Deletion
You may request account suspension or deletion using the available account settings or by contacting support.
Where the 30-day account-deletion reconsideration period is offered, the account will generally remain in a pending-deletion state during that period. You may be able to cancel the request by signing in and following the instructions provided before the deadline. If this feature or deadline changes, the applicable process will be disclosed in the account interface.
After deletion is completed, account content may be permanently removed, subject to lawful retention requirements, transaction records, backup cycles, and other exceptions described in our Privacy Policy.
Deleting an account may affect access to messages, files, photographs, booking records, calendars, events, storage upgrades, token balances, Booking Protection, and subaccounts. Before proceeding, review the deletion notice carefully.
Deleting an account does not automatically cancel separate subscriptions or payment-provider obligations unless the cancellation flow expressly says so. You should cancel applicable paid services as instructed.
We may suspend or terminate accounts for serious or repeated violations, fraud, security risks, non-payment, or legal requirements. Where reasonable and legally permitted, we will provide notice and an opportunity to address the issue.
19. Privacy and Personal Information
Our Privacy Policy explains how we collect, use, disclose, retain, and protect personal information, including information processed through AI Bookie, calendar integrations, payment providers, communications, business accounts, and analytics features.
You should review the Privacy Policy before using BookedYou. If you upload another person’s information or invite them to an event, you are responsible for ensuring you have the authority or legal basis to do so.
BookedYou’s handling of personal information is subject to applicable privacy laws. Nothing in these Terms overrides rights or obligations imposed by those laws.
20. Intellectual Property
BookedYou and its licensors retain ownership of the website, software, branding, logos, designs, trademarks, and other materials we provide, except for user content and third-party materials.
You may use the service for its intended purpose but may not copy, modify, distribute, reverse engineer, or commercially exploit our software or protected materials except as permitted by law or with our written permission.
You may not use our name, logo, or branding in a way that suggests sponsorship, endorsement, or affiliation without authorization.
21. Third-Party Links and Services
BookedYou may contain links to external websites, service providers, event pages, payment services, or other third-party resources.
We do not control all third-party content or services and are not responsible for their availability, policies, or conduct. Your use of third-party services may be subject to separate terms and privacy policies.
You may link to publicly available BookedYou pages provided that you do not misrepresent your relationship with BookedYou, imply endorsement without permission, or use the link in an unlawful or misleading manner. We may request the removal of links that infringe our rights or create a material security or legal concern.
22. Service Availability and Disclaimers
To the fullest extent permitted by law, BookedYou is provided on an “as available” basis. We do not guarantee uninterrupted service, error-free operation, continuous availability of a particular feature, or that all information, analytics, or AI-generated output will be accurate or complete.
We may perform maintenance, modify features, impose reasonable usage limits, or temporarily suspend services to address technical issues, security risks, or legal obligations.
Nothing in these Terms excludes or limits any warranty, right, or remedy that cannot legally be excluded or limited under applicable law.
23. Limitation of Liability
To the fullest extent permitted by applicable law, Booked You Inc. will not be liable for indirect, incidental, special, exemplary, or consequential losses, including loss of profits, business opportunities, goodwill, or data, arising from the use of or inability to use the service.
To the extent permitted by law, Booked You Inc. will not be responsible for losses arising from:
- User-generated content or information supplied by other users.
- An event organizer’s, appointment provider’s, or service provider’s conduct.
- A third-party provider’s actions, outages, or technical limitations.
- A user’s failure to maintain independent copies of important content.
- A user’s reliance on AI-generated information or automated actions.
- A user’s interpretation or use of analytics, happiness ratings, mood indicators, balance scores, or other insights.
- Inaccurate, incomplete, subjective, or outdated information submitted to or displayed by BookedYou.
Nothing in these Terms excludes or limits liability for fraud, wilful misconduct, or any other liability that cannot legally be excluded or limited, including applicable statutory consumer rights.
Any further limitation or cap on liability must be expressly stated in a manner permitted by applicable law.
24. Indemnification
To the extent permitted by law, you agree to be responsible for losses and reasonable costs arising from your unlawful use of BookedYou, your material breach of these Terms, or your infringement of another person’s rights.
This section does not require you to indemnify Booked You Inc. for losses caused by BookedYou’s own negligence, unlawful conduct, or other liability that cannot legally be transferred to you.
25. Changes to These Terms
We may update these Terms to reflect changes in our services, business practices, legal obligations, or security requirements.
We will post the revised Terms and update the effective date. Where a change materially affects users’ rights, paid services, or the handling of personal information, we will provide notice and obtain consent where required by law.
Continued use of BookedYou after an update takes effect may constitute acceptance where permitted by law. If you do not agree to a material change, you may stop using the affected services and cancel applicable subscriptions according to their terms.
Changes to the Privacy Policy will be communicated in accordance with the Privacy Policy and applicable law.
26. Governing Law and Dispute Resolution
These Terms are governed by the laws of Ontario and the applicable laws of Canada, without displacing any mandatory legal protections that apply to you.
Subject to applicable law and any mandatory consumer or other statutory rights, disputes relating to these Terms will be handled by the courts with appropriate jurisdiction in Ontario.
Nothing in this section prevents a user from exercising a right to bring a claim before a tribunal or other body where the law permits or requires it.
27. General Provisions
If any provision of these Terms is found invalid or unenforceable, the remaining provisions will continue to apply to the extent legally permitted.
A failure or delay by BookedYou to enforce a provision does not waive its right to enforce that provision later.
You may not transfer your rights or obligations under these Terms without our consent, except where applicable law permits otherwise. BookedYou may transfer these Terms as part of a lawful corporate reorganization, merger, or sale of the relevant business, subject to applicable privacy and consumer-protection requirements.
These Terms, together with the Privacy Policy and any applicable product-specific terms or checkout disclosures, form the agreement governing your use of BookedYou. If a specific paid offer contains additional terms, those terms apply to that offer to the extent of any conflict.
